It's often the case you find your ideal venue but there is an issue with the numbers. At the Rectory we are no strangers of the dilema where the guest list is over or under the maximum and minimum venue numbers. Panic not as we may just have the solution for you. Depending on your party we have various maximums for different times of year as well as types e.g. 100, 120, 140 for Full Day Sit Down Dinner Parties e.g Weddings, 150 for BBQ/Buffet & 200 for Evening Cocktail Parties.
In terms of a party being a wedding with numbers between 120 & 160 we have dealt with this scenario regularly in the past. We usually find there is at least a 10 - 15% drop in numbers to begin with. This is usually down to other family commitments such as weddings, pregnancies, illness, travel, work obligations, etc. Typically you are more likely to get your numbers to work if your guest list is in a close region of our max numbers for that time of year e.g. 100, 120 or 140. While we do have an option of catering to a slightly higher number than 120 for our Full Day Sit Down Dinner Package this would require some guests dining in the marquee. It is recommended to have all guests in the main house which is possible with numbers of 120 but if numbers are higher some guests will need to dine in the marquee. While we have had multiple groups expecting to have well in excess of 120 and needing to use the marquee to date we have ever only needed this on 3 occassions!! Should you be wary of numbers the best idea is to have 2 lists. Should anyone from the first list drop out you can invite the 2nd listing guests. If there are children or young teens as part of the group they are usually chosen to be in the second list.
We also have come across another scenario, Its a unique and different way of doing things we agree but it has proved extremely successful. Often we find the full numbers arrive for the drinks reception where the hosts organise a meal for the extra numbers in perhaps the Marine restaurant down the road and have guests return for the evening speeches and music. www.themarine.ie. This is becoming more popular as a resolution to numbers that are over our limit. We have had a number of parties opt for this to date.
Should your numbers be too small for the venue minimum numbers of 75 on a weekend perhaps you may consider a weekday or off peak time of year for your party as minimum numbers are lower. (E.g. weekday minimums 45. Check terms)
Sometimes you can get what you want. You just have to think differently.... think The Rectory......
